What data we collect – from our website
Website Newsletter Signup
For all data collected via our website newsletter signup option at Your Relationship Coach, we capture information on individuals who we believe are choosing to consent and opt in to receiving the Your Relationship Coach newsletter via email.
We capture these individuals’ names and email addresses.
The lawful reason that we use to process this data is consent.
The data is kept for 2 years and then we will ask these individuals to opt-in and consent again.
The data comes directly from the individual themselves. There is no automated decision-making or profiling done on this data.

Website ‘Contact Us’ Form
For all data collected via our website form on our ‘Contact Us’ page at Your Relationship Coach, we capture information on individuals whom we believe are expressing an interest in entering into a coaching contract with Your Relationship Coach, are requesting some further information, or have some other relevant enquiry.
We capture these individuals’ names and email addresses.

The data is kept for 1 year if a contract is not agreed, or for the term of the contract and 6years after that ends.

What data we collect – within coaching contracts
Coaching Clients
For all data collected during a coaching contract with Your Relationship Coach, we capture information on individuals and couples to enable us to deliver an effective and high level of service as Your Relationship Coach.
We capture clients’ names, addresses, telephone numbers and email addresses. We also capture special category data necessary for our in depth relationship work which includes data on gender, ethnic origin, religion, health, sex life, sexual orientation and children.
The lawful reason that we use to process this data is contract. Because we process special category data we also use explicit consent as an additional Lawful Reason to process personal data.
All data is kept for the term of the contract and 6years after that ends. Limited personal financial data is kept for 6 years in line with HRMC compliance.
The special category data is NOT shared with any third parties or external organisations. We will share limited personal data with an external organisation – names and phone numbers – in the event of an emergency where we are unable to make contact ourselves to cancel booked sessions.

Other information on what we do with data
We store and process data for which we act as Data Controllers in the UK.
We do not provide information for which we act as Data Controllers to third-parties. We do use external organisations to process data in some instances. This includes our email delivery system (Mailerlite), our Accounts Software (Xero), and our website support (Lisa Rees trading as Wonderful World of Websites).

How we look after data
We take reasonable technical and procedural precautions to prevent the loss, misuse or unauthorised alteration of personal data.
We store the personal data that we collect securely. We do not publish the details of the safeguards we use to protect personal data that we control as this could reduce the effectiveness of those safeguards.
